Terms & Conditions
These Terms & Conditions govern the relationship between YourUKStory (“we”, “us”, “our”) and the client (“you”, “your”) booking a tour or service with us.
By booking a tour or using our services, you agree to be legally bound by these Terms.
1. Our Services
1.1 YourUKStory provides bespoke, personalised private tours and travel planning services within the United Kingdom.
1.2 Tours may include guiding services, itinerary planning, transportation arrangements, accommodation recommendations, attraction bookings, and related services.
1.3 We may act either:

As a principal tour provider, or
-
As an agent for third-party suppliers (including hotels, transport companies, guides, and attraction providers).
Your booking confirmation will clarify the nature of the services provided.
2. Booking Process
2.1 A booking request does not constitute confirmation.
2.2 A binding contract is formed only when:

We issue written confirmation, and
-
The required deposit is received.
2.3 The person making the booking confirms they have authority to accept these Terms on behalf of all travellers in the party.
2.4 All names must match passports exactly. Any changes may incur supplier amendment fees.
3. Pricing & Payment
3.1 All prices are quoted in GBP (£) unless otherwise stated.
3.2 A non-refundable deposit of [20–40]% is required to secure your booking.
3.3 Final balance payment must be received no later than 90 days prior to the tour start date.
3.4 If full payment is not received by the due date, we reserve the right to cancel the booking and retain the deposit.
3.5 Prices may change due to:

Exchange rate fluctuations

Fuel surcharges
-
Government taxes
-
Supplier cost increases
If the increase exceeds 8% of the total booking price, you may cancel and receive a full refund (excluding non-recoverable third-party costs).
4. Changes & Amendments
4.1 Changes by You
Requests to amend confirmed bookings must be made in writing. Amendments may incur:

Administrative fees
-
Supplier amendment fees
-
Price adjustments
4.2 Major Changes by Us
If we must make a significant change (e.g., change of accommodation category or substantial itinerary modification), we will:

Offer an alternative of comparable standard, or
-
Offer a partial or full refund, where appropriate.
Minor changes (e.g., timing adjustments) do not entitle cancellation without penalty.
5. Cancellations & Refund Policy
5.1 All cancellations must be made in writing.
5.2 Cancellation charges:

Deposit: Non-refundable
-
90+ days before departure: Loss of deposit

60–89 days before departure: 50% of total booking price
-
29–59 days before departure: 75% of total booking price
-
0–28 days before departure: 100% of total booking price
(Percentages may be adjusted depending on supplier policies.)
5.3 If cancellation is due to unavoidable and extraordinary circumstances at the destination (as defined by UK law), refunds will be processed in accordance with applicable regulations.
6. Travel Insurance
6.1 Comprehensive travel insurance is strongly recommended and may be mandatory for certain tours.
6.2 Insurance should cover:

Medical emergencies

Trip cancellation/interruption

Personal liability
-
Loss of belongings
-
Travel delays
We are not responsible for uninsured losses.
7. Passports, Visas & Health Requirements
7.1 You are responsible for ensuring:

Valid passports

Appropriate visas
-
Compliance with UK immigration requirements
7.2 We are not liable for denied entry due to failure to meet travel requirements.
7.3 You must inform us of:

Medical conditions
-
Mobility restrictions
-
Allergies
-
Dietary requirements
Failure to disclose relevant medical information may limit our ability to accommodate your needs.
8. Client Conduct
8.1 Clients must behave respectfully and comply with local laws.
8.2 We reserve the right to terminate a tour without refund if a client:

Engages in illegal activity
-
Acts abusively or dangerously
-
Endangers others
-
Causes property damage
Any resulting costs will be your responsibility.
9. Liability
9.1 We exercise reasonable skill and care in delivering our services.
9.2 Where we act as an agent for third-party suppliers, their terms and conditions apply, and liability rests with that supplier.
9.3 We are not liable for:

Losses caused by third parties

Personal injury unless due to our negligence

Delays due to traffic, weather, strikes, or force majeure

Loss of personal belongings
9.4 Our maximum liability shall not exceed the total amount paid by you for the tour.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot legally be excluded under UK law.
10. Force Majeure
We are not liable for failure to perform obligations due to events beyond our control, including but not limited to:

Natural disasters

Severe weather
-
Pandemic or epidemic

Government restrictions
-
Civil unrest
-
Terrorism
-
Transportation disruption
In such cases, we may offer rescheduling or credit where feasible.
11. Photography & Marketing
We may take photographs or videos during tours for marketing purposes.
If you do not consent, you must notify us in writing before your tour.
12. Data Protection
We process personal data in accordance with UK GDPR and the Data Protection Act 2018.
Personal data is used solely for booking management, communication, and service delivery.

13. Complaints Procedure
13.1 If an issue arises during your tour, you must notify us immediately so we can attempt to resolve it.
13.2 Formal complaints must be submitted in writing within 14 days of tour completion.
Failure to notify us during the tour may reduce your right to compensation.
14. Governing Law & Jurisdiction
These Terms are governed by the laws of England and Wales.
Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Severability
If any provision of these Terms is found unenforceable, the remaining provisions shall remain valid.
